COVID-19 FAQs for Student Housing

Are the East Texas Baptist University Residence Halls Open?

At East Texas Baptist University, our first priority is the safety of our students. We are encouraging students who can return to their permanent residence to do so. Students who are at home will not be able to move back into their residence hall at this time. See below for procedures on moving out of your residence hall.

What is the procedure for moving out of the residence halls?

At this time, ETBU will maintain restricted campus access, allowing only those students who have been living on campus during the COVID-19 crisis to remain on campus.  If you are currently staying off campus, you will not be able to return to campus prior to the official move-out dates.

Students currently on campus:
Students who are currently on campus are encouraged to move-out and return home. If moving home is not an option, we will allow you to remain on campus through the conclusion of the Spring 2020 semester. You must email your Resident Director to notify them of the date you plan to move out or to request to remain in campus housing.  Upon check-out, your Resident Director will provide you with your checkout form. You must return this form and your room key to your Resident Director before you leave campus.

Students currently off campus: 
Due to the current circumstances of the community spread of the Coronavirus and the multiple shelter-in-place orders across the state of Texas and beyond, students who are currently off campus will not be able to return to campus to move out of their room until the designated move-out period.  Please understand that we are not allowing any new people who are not already on campus to return for any reason until April 20. This process allows us to manage the number of students in the residence halls and practice social distancing guidelines.

University Park and The Oaks Residents:
University Park and Oaks on Grove Residents will be able to remain in their apartment due to the 12-month housing agreement.  Please email to let the residence life staff know if you will be in your residence or if you are staying home.  If you choose to move out, please sign up for a time here.

Move-Out Process for April 20 - May 16

Move-out time slots will be available in four-hour shifts each day during the allowable date periods noted above. The number of residents permitted to sign up for each move-out time slot is limited to five (5) per campus residential building. 

Available time slots will be:
Mondays – Saturdays
8:00 a.m. – 12:00 p.m.
2:00 p.m. – 6:00 p.m.

2:00 p.m. – 6:00 p.m. 

To keep in compliance with social distancing guidelines, please do not coordinate with your roommates to sign up for the same move-out time. Residence Life staff will check the list to ensure there is only one resident student per room during each move-out time slot. If multiple roommates are signed up for the same time slot, we will contact you about adjusting your time. No more than two adult people may come to help you move out. No children under the age 16 will be granted access to campus. We recommend family members only as helpers for your move out.

When you come to check out

  • Bring your own packing, moving, and cleaning supplies.

  • In Centennial, if you use the elevator, please limit usage to one family at a time.
  • Your check-out envelope, which includes your checkout form and move-out instructions, will be placed in your room prior to your arrival.
  • When you have vacated and cleaned the room, please make sure you have checked off all of the steps listed on the move-out instructions document.
  • Place your key and signed inventory sheet in the check-out envelope and drop the envelope in the box at the main entrance to your residence hall.
  • There will be no room inspections upon check-out. However, egregious or intentional damages to the room may be charged to the resident’s account. Failure to return your key will result in a $25 fine.
  • Overnight stays will not be permitted during the move-out process. You must move-out during your selected four-hour time slot.
  • Any mail or packages you have in Campus Services will be placed in your room the night before your arrival. You will need to make arrangements with vendors/companies to change your mailing address. ETBU is not able to provide mail forwarding services.

**When scheduling your move-out time, please be sure to work around your final exam schedule. Moving out of your room is not a reason to miss one of your final exams. Exams should be your first priority.**

How Do I Sign Up for a Check-out Time?

The number of students able to sign up for each check-out time is limited to five (5). Students will be allowed to sign up for one of three check-out time slots at their residence hall everyday.

Texas Residents | Monday, April 20 - Saturday, May 16
Non-Texas Residents | Sunday, May 3 - Saturday, May 16

What are the expectations for cleanliness when I leave my space?

We ask that you remove ALL items, trash, and belongings. Do your best to clean your space with the supplies you bring with you. We will not be checking out cleaning supplies to limit germ transference from people handling the same objects. 

Do residents in University Park Row Houses or Oaks on the Grove Townhomes have to move out?

We are encouraging all students to return home who are able to do so. Due to the 12-month lease agreement, University Park Row and Oaks on Grove residents will be able to remain in their housing space. Please email to let the housing staff know if you will be in your residence or if you are staying home.

What if I moved all of my belongings out of my room and want to mail my key back?

Residents can mail their key back to Residence Life following the specifications listed below. ETBU Residence Life is not responsible for returned keys that are lost in the mail. 
Key must be sent Certified Mail or FedEx.
Key must be placed in a sturdy envelope that cannot be easily damaged by the keys inside. It is recommended to utilize a bubble mailer/envelope.

How are you going to maintain social distancing when so many students are moving out?

We will support social distancing by the check-out schedule we have developed.

Students returning to campus to move out may only bring two individuals to assist.  In buildings with an elevator, please limit usage to one family in the elevator at a time.

We encourage all students to practice social distancing during this time on-campus.

What is going to happen to my USPS mail and packages?

Students who have approved emergency housing exemptions:

Your can continue to pick up your mail in Campus Services Monday, Wednesday, and Friday between 1-3 p.m.

Students who do NOT have an approved emergency housing exemption and have already moved out, or are moving out of the residence halls on a specified date:

You will need to pick up your mail and packages on the day you come to check out of the residence halls. You will need to change your mailing address with the companies/individuals sending you mail. ETBU Campus Services is not able to provide mail forwarding services.
