Setting Up Course Reserves

 

What May Be Placed on Reserve

Most Jarrett Library materials as well as personal copies and photocopies may be placed on reserve.  The following will not be placed on reserve:

  • Periodicals (entire issue or bound volume)
  • Reference books
  • Award books

Plan Ahead!

  • Professors MUST activate ETBU ID before the system will allow any materials to be put on reserve fstylizedbook3or that professor. No exceptions.
  • The Library cannot offer same day or rush requests for placing items on reserve.  Requests for materials to be placed on reserve should be made at least two weeks before the material will be needed.
  • Make sure the material is on reserve before making assignments.    

Annie Henderson is the Academic Reserves Coordinator.  Reserve items are processed during her office hours which are Monday - Friday, 8 AM - 5 PM.  Reserve items are not processed between 5 PM on Friday and 8 AM on Monday.

 

When bringing materials to Access Services to be placed on reserve, obtain a Library Material Reserve form at the Circulation Desk.  To complete this form this information is needed:

  • Professor's name
  • Course name
  • Course number
  • Type of reserve
  • Removal date                                       

Photocopies on Reserve

The Library may place excerpts from copyrighted works on reserve for faculty members in accordance with copyright guidelines similar to those governing formal classroom distribution for face-to-face teaching. These guidelines apply to Academic Reserves, which functions as an extension of classroom readings and reflect the student's right to photocopy for personal scholastic use. Photocopies may be placed on reserve for class assignments and other educational activities, such as advanced independent study and research.

 Examples of photocopied materials that may be placed on reserve include:

  • a chapter from a book
  • an article from a periodical or newspaper
  • a short story, short essay, or short poem, whether or not from a collective work
The course instructor must submit all reserve photocopies. The Library cannot photocopy articles for placement on reserve.
Reserve photocopies will be returned to the faculty member at the conclusion of each course, along with a list of all items on reserve for that course. Please save the list if you plan to place the items on reserve again.

These guidelines should be followed when submitting photocopies from copyrighted works for placement on reserve:

  • The amount of material should be reasonable in relation to the total amount of material assigned for one term of a course, taking into account the nature of the course, its subject matter, and its level.  Academic Reserves should not take the place of a purchased textbook, but rather supplement the other course material.
  • The number of copies should be reasonable in light of the number of students enrolled, the difficulty and timing of assignments, and the number of other courses that may assign the same material.  Onc copy per 10-15 students is usually sufficient.
  • Each copy of the material should include CITATION INFORMATION on the first page.
  • Each copy of the material should contain a COPYRIGHT NOTICE on the first page.  This notice consists of:  Copyright © [year], [name of copyright owner]    (Example:  Copyright © 1983, Alice Walker)  Such a notice is often already present on the first page of a journal article.  The information needed to compose such a notice is usually available on the title page or verso of the work.
  • Only photocopy the material if doing so does not harm the market for the work. (In general, the Library should own at least one copy of the work.) The number of articles or chapters photocopied from a single journal issue or book should be limited. A collection of copies comprising an entire journal issue or book will not be accepted for Academic Reserves. The reserve use of the same photocopied materials in multiple courses or successive years usually requires advance permission from the owner of the copyright.
  • Works in the public domain (not protected by copyright) may always be placed on reserve, within the space limitation of 5 copies per item. Copyrighted works may also be placed on reserve in excess of the guidelines (but within the space limitations of 5 copies) when permission to engage in such practice has been obtained from the copyright owner.
 

Obtaining Permission to Photocopy

 

 

It is the responsibility of the professor to obtain permission from copyright owners to photocopy in excess of the guidelines described above. In some instances, the publisher may assess a fee for the permission. This fee would also be the professor's responsibility. The American Association of Publishers suggests that the following information be included in a permission request letter to the copyright owner:

  • title, author and/or editor, and edition of materials to be duplicated
  • exact material to be used, giving amount, page numbers, chapters, and, if possible, a photocopy of the material
  • number of copies to be made
  • purpose of duplicated materials
  • form of distribution (classroom, newsletter, etc.)
  • whether or not the material is to be sold
  • type of reprint (ditto, photography, offset, typeset)

The request should be sent, together with a self-addressed return envelope, to the permissions department of the publisher in question. If the address of the publisher does not appear in the material, it may be obtained in Books In Print Online with Reviews.

The process of granting permission requires time for the publisher to check the status of the copyright and to evaluate the nature of the request. It is advisable, therefore, to allow enough lead-time to obtain permission before the materials are needed.

The Copyright Clearance Center (CCC) also has the right to grant permission and collect fees for photocopying rights for certain publications. Dealing with the CCC, when applicable, can often prove more efficient than dealing directly with publishers. Their address is:

Electronic Reserves

We are not currently set up for electronic reserves. However, full text articles found in many of our databases have persistent URLs that can be linked to. Links to electronic books can also be accommodated this way. You may choose to put these links within your faculty toolbox as well as through the reserves module within TigerCat. Contact Cynthia Peterson or your library liaison for more information.
